Backups & Data Safety

How to Back Up QuickBooks Files Safely

Protect company files, verify backups, and avoid confusing synchronization with a true accounting backup.

Use the application backup

  • Open the correct company and create a local backup through QuickBooks.
  • Include required attachments or supporting folders when the version supports them.
  • Name backups with the company and date so the correct copy is obvious.

Store independent copies

  • Keep one protected local copy and one off-site copy.
  • Do not leave the only backup on the same computer as the live company file.
  • Protect drives and cloud accounts with encryption and strong access controls.

Verify restoration

  • Use QuickBooks verification options during backup.
  • Periodically restore a test copy in a safe location.
  • Document the product version and administrator credentials needed for recovery.
